Downtime 9/6/2017 @ 9:30 pm for Case Management Update

Medicaid/State-funded Case Management underwent a dramatic reduction last Friday (9/1/2017), from 25 units per month to 16 units per year. We have already added new MEDICAL NECESSITY variants for all Case Management Services. Authorizations for these can be added to TxPlans using the "New" button in the Request. Units will need to be moved and/or allocated to the new authorizations. Since the new codes are not valid pre 9/1 at OHCA, we have prevented the use of these variants before 9/1 to reduce the chance of accidental use and subsequent denials.

We are also updating the Case Management warning that displays when you write a new Case Management note. The new warning will read:
As of 9/1/17 there is a rolling cap of 16 units per year on normal
Case Management notes. Using a MEDICAL NECESSITY version will allow
25 units per month but will be recouped if client does not
have medical necessity.

You may have available units but be in excess of this limit.
Unfortunately, Milan cannot warn you when you exceed this limit.

Labor Day Observance: Monday, September 4th, 2017

Please be advised that the core staff of Milan Medical will be unavailable on Monday, September 4th, 2017 in observance of Labor Day. This will not affect our billing system. Approved notes will automatically be posted on Monday night. As usual, any notes approved after Monday will need to be manually posted by an Admin.

Downtime: 8/31/2017 9:30PM for 5 minutes

Milan will be down briefly for an update to the Patient Chart that will remove Deleted status notes from being loaded to the Notes section of the chart. They were previously hidden from view, and the update to prepare for 3-day rejection (or whatever timeframe the OHCA may ultimately decide to use) caused them to no longer be hidden from view.

**3 Day Rule Implementation goes live on 8/30/17**

The three day auto-reject feature will be rolled out on Wednesday, August 30, 2017. However, this update has already been applied to Milan Medical Training for testing purposes. We encourage everyone to test this out before we update the system on August 30, 2017.

How the three day auto-reject feature works:

Our system will automatically reject a note if it is signed 3 calendar days after the start date. The signature will *STILL* occur at the moment of signing and will be saved with that time stamp. The rejection message will indicate that it was rejected due to being signed 3 days after the start date.

In Milan, three calendar days means 72 hours. However, OHCA will not include weekends or any state holidays. An admin/clerk would determine if the rejected note needs to be submitted for billing. If so, then the admin/clerk would unreject the note which puts it back in signed. Then they would approve the note which will allow it to go through for billing.

Note: There will be no change from the current process when notes signed within 3 days.

OHCA 3 Day Rule Policy change for 9/1/17

Effective 9/01/2017, OHCA policy will require all billable OHCA services to be entered and signed within three days of the service being performed. We have asked OHCA for some clarification and specifics, but they informed us that the legal team is handling all of the documentation which should be released soon. We will finalize our plans once we receive OHCA's clarifying response and will have free optional features available to assist you with these changes.
